Challenge
Workday aimed to modernize its office technology by upgrading monitors across five buildings. The primary objectives included:
- Replacing outdated or mismatched monitors with 34″ Dell curved monitors.
- Ensuring seamless installation with minimal disruption to daily operations.
- Managing asset verification and compliance with workspace requirements.
- Proper disposal and recycling of old equipment and packaging materials.
With a large-scale deployment affecting more than 5233 desks, careful coordination was required to meet deadlines and adhere to company standards.
Solution
A structured installation plan was developed to ensure efficient execution and maintain accuracy.
..
Site Survey & Planning
An extensive site assessment was conducted before deployment, utilizing a comprehensive spreadsheet to identify desks requiring monitor replacements. Key elements of the planning phase included:
..
- Reviewing the Final Installation list spreadsheet to confirm installation locations.
- Identifying and prioritizing desks marked for replacement.
- Ensuring compliance with workspace technology standards, including non-replacement of Apple monitors and retention of existing peripherals.
Installation Execution
The installation took place between December 20, 2024, and February 7, 2025, across multiple buildings:
-
Buildings Covered: 6000, 6110, 6130, 6150, 6160.
-
Total Desks: 5233.
-
Desks Receiving New Monitors: 2944 (desks without existing 34″ Dell monitors).
Each workstation was visually assessed to verify installation eligibility, ensuring:
- Existing 34″ Dell curved monitors were not replaced.
- Other brands or smaller monitors were replaced with new Dell monitors.
- Apple monitors remained untouched.
- No peripherals such as mice, keyboards, or hubs were removed.
Waste Management & Compliance
Strict waste disposal guidelines were followed to maintain workspace cleanliness and sustainability:
- All cardboard inserts and packaging materials were removed from the campus.
- No waste materials were stored in the basement, per project requirements.
Outcome
By executing a well-planned and methodical installation process, Workday successfully upgraded its office workstations with minimal disruption. The deployment of modern, high-performance monitors enhanced employee productivity and improved workspace ergonomics. The project was completed on schedule, and clear communication among teams ensured smooth execution. The structured approach also reinforced best practices for future technology upgrades.
